Every small business in the Philippines eventually needs to accept GCash payments. Customers ask for it, and if you cannot receive GCash, you lose sales. This guide walks through setting up GCash for Business from scratch, choosing the right account tier for your revenue, and the practical fees and limits you actually run into.
GCash Business vs personal GCash: which do you need?
You can technically run a small business on a personal Fully Verified GCash account. But you should switch to GCash Business once any of the following are true:
- You accept payments from more than 20 customers per month
- Monthly transaction volume exceeds PHP 100,000
- You need business receipts (OR issuance) for BIR compliance
- You want a dedicated business phone number separate from your personal GCash
- You need multiple staff members with permission to accept payments
Personal GCash caps at PHP 100,000 wallet balance. Business tier lifts the cap significantly and gives you tools built for merchant use.
GCash Business tiers (August 2026)
- GCash Business Basic (Sole Proprietor): Free to sign up. Accept payments up to PHP 500,000 per month. Get a business QR code and business receipts. Good for freelancers and single-owner shops.
- GCash Business Standard (Registered SME): Requires DTI or SEC registration and BIR forms. Monthly transaction cap PHP 2,000,000. Get API access to embed GCash payments in your website. Free monthly maintenance.
- GCash Business Corporate (Corporation): Requires full SEC corporate registration. No monthly transaction cap. Multi-user access with role-based permissions. Custom pricing.
Start with Business Basic if you are a sole freelancer, tutor, or small home-based seller. Upgrade to Standard once you are DTI-registered and monthly volume exceeds PHP 300,000.
Step 1: Check what documents you need before applying
Depending on your tier:
For Business Basic (Sole Proprietor):
- Valid government ID (drivers license, passport, PhilID, UMID)
- Selfie for KYC
- Optional but recommended: DTI Business Name registration
- Optional: Barangay Business Clearance
For Business Standard (Registered SME):
- DTI Certificate of Business Name Registration
- Barangay Business Clearance
- Mayor’s Permit or Business Permit
- BIR Form 2303 (Certificate of Registration)
- Valid government ID of the owner
- Recent utility bill for address proof
For Business Corporate:
- SEC Certificate of Incorporation
- Board resolution designating the account signatories
- All the SME documents above
- Corporate secretary’s certificate
Scan clear PDF or JPG copies of each document before starting the application. Blurry photos are the #1 reason GCash Business applications get rejected on first submission.
Step 2: Apply for GCash Business
- Open GCash app or go to business.gcash.com
- Tap or click Sign Up for GCash Business
- Enter your business email (use a dedicated business email, not personal)
- Verify email via the code sent to your inbox
- Create a password (12+ characters, mix of letters, numbers, symbols)
- Enter your business name exactly as it appears on your DTI or SEC certificate
- Fill in business type, category, and monthly revenue estimate
The onboarding form takes about 15 minutes to complete accurately. Do not rush it because errors here delay approval by days.
Step 3: Upload your documents
- Upload your business registration document (DTI, SEC, or Mayor’s Permit)
- Upload your valid government ID
- Upload your recent utility bill for business address proof
- Upload BIR Form 2303 if you have it (skip if Business Basic)
- Wait for the file uploads to confirm (do not close the browser mid-upload)
- Tap or click Submit for review
Approval time: Business Basic typically 1 to 3 business days, Business Standard 5 to 10 business days, Business Corporate 10 to 20 business days.
Step 4: Set up your business QR code
Once approved:
- Log in to your GCash Business dashboard
- Tap Receive Payments
- Tap Generate QR Code
- Download the QR image and print it
- Post it at your store counter, on your website, or in your Facebook page
Best practice: laminate the printed QR at 4×6 inch size so it survives being handled by many customers. Post multiple copies at different customer touchpoints (cashier, table tent, delivery bag insert).
Step 5: Add staff accounts (if needed)
For Business Standard and Corporate:
- In the GCash Business dashboard, go to Team Management
- Tap Invite team member
- Enter their email and assign a role (Cashier, Manager, Admin)
- Cashiers can accept payments but not withdraw or edit settings
- Managers can accept, withdraw, and view reports
- Admins have full control including inviting more members
Rule of thumb: only give one person Admin rights. Give staff Cashier rights only. Managers should be reserved for co-owners or trusted senior staff.
Step 6: Understand the fees
By the way, this is where most business owners get surprised. GCash Business is NOT free. What you actually pay:
- Transaction fee to accept payments: 2 percent to 2.5 percent of the transaction amount for most business categories. Higher for high-risk categories (crypto, betting).
- Cash-out fee (moving from GCash to bank): Free up to PHP 5,000 per month. Beyond that, 1 percent per cash-out.
- API integration fee (for websites and apps): Free setup, no monthly fee. Only per-transaction fees apply.
- Chargeback fee (if a customer disputes): PHP 500 per dispute, whether you win or lose.
On a PHP 1,000 transaction, you receive PHP 975 to PHP 980 after fees. That is competitive with card processors (2 percent to 3 percent) and better than PayPal (4 percent to 5 percent).
Common problems and how to fix them
- Application rejected because of blurry ID: Reshoot in daylight, avoid glare, and re-upload. Most rejections resolve on second submission.
- DTI certificate wrong format: DTI issues Certificates of Business Name Registration in PDF. Do not screenshot the DTI portal page and submit that. Download the actual PDF.
- Customer says the QR scan failed: Reprint at higher DPI (300 DPI minimum) and ensure lighting where the QR is posted is bright enough. Old faded QRs stop scanning cleanly.
- Withdrawal to bank stuck for days: Standard cash-outs take 1 banking day. If yours is delayed beyond 3 days, message GCash Business support with the transaction reference.
- Payment received but not showing in your dashboard: Refresh the dashboard. Payments sometimes lag 30 to 60 seconds. If still missing after 5 minutes, check the sender’s transaction reference to confirm they sent to the right business number.
BIR tax reminder
By the way, if you are receiving business payments regularly, remember to declare the income for BIR. GCash Business transaction reports are BIR-acceptable proof of revenue and expense. Keep monthly PDF exports of your transaction history for at least 5 years, which is the standard BIR audit lookback period.
