Sales and Inventory System Thesis Documentation Chapter 4: Existing System

RV Empire Incorporated used manual system that gives them the burden on monitoring and computing their products, the company used also record book in keeping their transaction records that is not totally secured because it can be easily tampered, modify or will be lost by the management.

The products that were being delivered to their inventory were counted manually that gave them hard time in controlling their inventory that leads to wastage of money. Using of calculator in computing is applicable, but it would be easier if it is in a more advance way, because computing it manually sometimes results in human error that can create a big loss of money.

The sales and inventory system aims to provide the needs of the company in keeping transaction reports, monitor the changes in their inventory during transactions, and to provide the company a well-organized transaction records.

  2. To monitor the inventory changes of their products.
  3. To provide reports in their sales and inventory transactions.
  4. Provide easy and manageable record keeping system for their past transactions.

This study is limited only for RV Empire Incorporated that covers six (6) office employees: the business Manager, Stock Clerk, Assistant Manager, Cashier, Sales Manager, and Collector; three (3) sales agents, and the company supplier.

The limitation of the system is that it can only be accessed offline; the payment for the transaction can be only in cash basis, the system cannot receive amount through credit cards, and it doesn’t support barcode tracking of products.

The existing system only performs manually in recording personal information, the processing of their sales and inventory reports, monitoring of their inventory, and also the system doesn’t provide full security in their transaction records.

Because of the fast growing of their transaction records in their sale and their inventory that are being listed on notes they can’t easily track down the past transactions because it might be misplace, that’s why is it better to make their manual system more advanced that can cope up their problems.

Sales and Inventory System Thesis Documentation Chapter 4: Concept of Operations

The concept and operation of the manual system of RV Empire Incorporated is that first the customer will order an item to the sales staff, and after that, the staff will check if the requested product is available in the inventory. After checking of the product the staff will direct the customer to the cashier for the processing of the transaction.

After processing of the transaction, the cashier will issue invoice to the customer and after that the customer will receive the ordered product. However on their manual inventory, the staff will check the inventory and if the company is lacking on products, the staff will issue a list of order to their manager for approval.

After the approval of the listed items, the sales staff will request the list of items to the supplier. If the supplier doesn’t have the item they will send only the available items. After receiving of the ordered items the staff will checked if the product are in good condition, then the product will be directed to their warehouse.

Figure 4: Data Flow Diagram of the existing system shows that the customer will buy product. First the customer will inquire for the product he or she wanted to buy from the clerk, if the product is available from the inventory then the clerk will give the item to the cashier then the customer will give payment to the cashier.

If the customer paid the right amount for the item he wants the cashier will issue the item together with the official receipt, otherwise if there is no available products from the inventory then the clerk will inquire to the supplier to get the items that is not currently available in the inventory.
